And we thank a lot "The General Directorate of Abu Dhabi Police" For their help and supports that make the problems of our project is easy to solve, and for providing us with information that are required to our new system.

Abstract

Our system analysis project will be about Social Support Information System in the General Directorate of Abu Dhabi Police, which has more services for UAE citizen and other peoples who are resident in UAE. We hope in our project to collect information about the new system and all required services to achieve it in the right way to make full project that will help anyone in our country. From the other hand we will search about required information to develop the old system in the General Directorate of Abu Dhabi Police. This information that we will collect from many recourses to achieve integrity in our project. The first goal that we want to achieve is to improve the old system with the new features that we think.

Organization Overview The General Directorate of Abu Dhabi Police in Abu Dhabi Emirate operates with other agencies to achieve a safer society. It seeks to preserve the stability, the reduction of crime and the removal of a sense of fear, as well as contributing to the achievement of justice among the general public.
The vision of the Directorate is to become the police force that is more effective in the field responding to the needs of society with the highest level of integrity and training. The values of the General Directorate of Abu Dhabi Police are integrity, honesty and respect for human rights. Provide the service fairly and dealing with people reasonably, tact and kindness, as well as promoting teamwork and recognizing the contribution of individuals and the group in the achievement and reward their owners.
The General Directorate of Abu Dhabi Police already has the social support information system, but with the old ways that used paper and face to face interview to take the citizen’s complaint that makes the process of solving it quickly more difficult and take time. So we will work in this problem in our new system.
Aim of the Project The aim of the project is to develop the system for Social Support information System to handle the applications for complaint or request for help like receive requests from all parent or other peoples in UAE with online service such as website that support also videoconference to achieve face to face interview with the person without any needs to go to the police office. Also from the aims of our project is to organize the details for each citizen or resident, show all application in an organized form with Ascending according to the priority of each one. We want to achieve in the project to have the ability to make daily report for all the system process. The system will keep the required documents to all the types of information and keeps the documentation identification for each and every detail separately. Besides these, this project will be produce reports also such as the citizen or residents in the database and all finished requests and pending requests.
By implementing this system all the difficulties in the old system will be solved and will provide more user-friendly application for the organization with the new features added.

Project Objective

When have more objective complete the new system as the following:
Upgrading the old system with Simple interface with good option for help to make it easy to interact with the user.
High security on all process in the system to achieve the privacy for the citizen or resident information.
More accurate in storing and retrieving the data in and from the database system.
High performance and integrity all the time.
Produce an attractive system to do the desired tasks.
Provide a complement system so that making reports and statistics become very easy.
For achieving these objectives, all phases in the system requirement analysis, design, implementation, and testing will be on proper time. These all the phases have their own important role in the project development. Project objective describe the various phases of the project and the details. In this project it supposed to move through the following phases. The important one in our objective is to upgrade the old system and solve the difficulties that face the user in the old system.

Functions of the System:
Availability of the system for all citizen or resident during 24 hours daily through web site to give the citizen or resident the freedom to choose at any time to enter his request . In order to supply a direct registrations way on web, this feature provide a convenience practice which can avoid telephone line busy, or time consuming which cause by forming line at the organization.
Availability of making registration is several simple steps. The citizen or resident can log in by using the User ID and Password, which he own. For the first time to log in, the citizen or resident can register on the web site and get their own ID and Password.
The Citizen or resident can check their own request or complaint through the web browser, which includes the all special services, such as receive the solution through videoconference, telephone conversation, written letter to email, and SMS.
The system will give the citizen or resident the option to send his complaint or request at any place has the internet and at any time, and this process will done under high security to maintain the privacy for all citizen or residents.

Staff Function
The system provides the accounts for the staff, to check the citizen or resident requests to show the requirements for solving the problem or helping him.
The system will distribute the requests on all staff in the organization with a random process to achieve the fast and accurate service to the citizen or the resident.
By using the system, the staff will check all citizen or resident information and call him to check the validity of data he entered, they can view the information such as Citizen or resident name, job, special information (Address and contact number) and Description.

Administrator’s Function
The system divides different level of rights. For the administrator, he can control and amend the user information such as user’s name, password, and user rights.
The administrator has the right to change any scheduled of request or changing the password for stuff or citizen or residents.
The system provides much kind of reports for administrator to manage and coordinate, such as special request, citizen or resident report, staff reports. And administrators allow doing the backup for the system .

Project Description In the Social Support information System is currently running a system for all its processing’s but with slow action and some errors. We can show the process that it do now before the features that we will add it as the following:
1 Add new (citizen or resident) account.
2 Login service at any time.
3 Video conference for the request.
4 Maintaining citizen or resident details.
5 Report for (citizen or resident) request with the solution.

Problems of the current system: The management and citizens or residents are not satisfied with the current system, because of complicated interface and it is taking a long time to do the request and sometimes the employees are not able to do the requesting fast. So each employee waste a lot of time to record one request for citizen or resident in the day of the work. So we can conclude these problems as the following:
Work load management: All the manual system has its limitations and this will leads to all the other issues. The employees are getting more problem as they have to search for information manually and it is taking long time and this leads to dissatisfaction of citizen or residents and top management also.
Efficiency of the system: By the problems that face the employee in the old system we can conclude that this system will be less efficiency in working. Also there is no efficiency in complete a lot of many citizen or residents request in short time.
Accuracy of the system: Also any employee under the load in the work and all these difficulties the employee will make some mistakes, so the system will not accurate. So it may be make a lot of problems with the citizen or residents.
Coverage of data redundancy: Any employee can add the same citizen or resident details by mistakes and also for the request details and the solutions for the request so it will make more redundancy of the data.
Saving time: In the old system it will lost more time in the process so it can't save the time because a lot of time wasted in the recording and search for citizen or residents or requests in the date.
Security issues: It has less security because any data can be lost simply because it is on papers and also can anyone show all details for anything. Also any citizen or resident details may be tacked by another person so the system can’t achieve privacy.

We will fix errors, add new features and facilities.

Screens in the system:

We have in our project some screens that will be used in the new system of the social support system as we discuss in the first part. Each screen in details as the following:
Main Screen:
The main screen founded in two types one for the employee and the other for the citizen who is registered in our system.
1. User Main Screen: This is the main screen for the citizen who is registered in the system, so after the registration he can use the system forms easily. This screen consist of more options as the following:
a. Request a support: this is the option that used when the citizen has a problem or need the support or need to write an complaint about any services.
b. Follow old request: this is an option that give the ability to the citizen to follow his requests and show the solution online or by video conference services.
c. Delete Request: this is the option that used by the citizen after he get his solution or support for the old request he made.
d. Video conference: this is the option if the citizen needs to talk to the social support specialist.
2. Employee Main Screen: this is a screen that is for the employee to control the requests and users in the system, it consist of more options as the following:
a. Control requests: this is an option that used to make the appointment for the requests according to the time of the social support specialist. And confirm the request to the citizen that it is under study.
b. Control users: this is an option to control the citizens in the database of the system, for example send to citizen an confirmation or message, delete an user that register with unreal information. Change the password for the citizen if he forgot the password.
c. Check status: to check the status of the requests and make the notes to the social support specialist for delayed requests.
d. Make a report: this is to print different types of reports for example daily report for users or requests, from the other hand the report for all finished request or the report for all citizen in the database
e. Employee Data Entry: that is used to search for employee or add new employee or to delete an employee.
Registration screen:
This is the screen that are for the citizen only that have an application form that request an information about the user as name , mobile number and address….. so on. This information will make only for the first time that the citizen enters to the system.

Login Screen:
The login screen founded in two types one for the employee and the other for the citizen who is registered in our system. Employee login screen requests the user name and the password for the employee who registered in the system to give him the ability to enter the system. And the citizen login screen is for the citizen who will enter the username and the password to login to the main screen.

Change password screen:
This is the option for the citizen or the employee when one of them forgot his password, so he should go to this screen to change his password after he take the permission from the administrator.

Technical feasibility: we prepare our self to make the program and project that will design the website and the access program to manage customer information. Also we have the ability to choose the best devices that required completing our system.
Operational feasibility: our solution will recover all errors and disadvantages of the old system. we will achieve a good environment to the user of the system with simple interface that make it easy to deal with it.
Economic feasibility: we will work on reducing the cost of the project so that is very easy to achieve it without any problems in our new system.
Schedule feasibility: we will work directly in the system in the case of finishing the schedule to complete it at a time. We will organize and distribute the tasks on everyone in our group to achieve compatibility and accuracy.
